This Privacy Policy explains how PutBoard (“PutBoard”, “we”, “us”) handles personal information when people use the PutBoard website, customer administration areas, public Boards, or contact us.
1. Information we collect
We collect information people provide directly, including names, email addresses, login credentials, organisation contact details, support requests and messages sent through our contact form. Customers may publish community information, files and contact details to their Boards.
We also collect limited technical and operational information such as IP-derived security data, browser and device information, requested pages, timestamps, authentication activity, and privacy-conscious Board insights. PutBoard does not create advertising profiles or sell personal information.
After a customer signs in, a security cookie helps recognise that browser on the same site for up to 90 days, refreshed on sign-in. It does not sign anyone in or track public viewers. We store a protected browser reference, approximate browser details and security-event timestamps to send account-security notices. Clearing cookies or using another community site may trigger a new-browser notice.
2. Public website analytics
We use Plausible Analytics on the PutBoard marketing website and its fictional demo Board to understand aggregated page visits, referral sources and actions such as opening the demo or starting signup. Plausible does not use cookies or persistent identifiers for this measurement, and we do not send names, email addresses, contact-form messages or customer Board content to it.
Plausible is not loaded on customer Boards, Manage, Owner or Staff areas, or during local development. Limited technical information needed to produce aggregated statistics is processed by Plausible Analytics as a service provider.
3. How we use information
- Provide, secure and maintain PutBoard.
- Authenticate users and manage Account and Board access.
- Deliver public Board content requested by visitors.
- Respond to enquiries and support requests.
- Send essential service, security and billing communications.
- Understand whether community information is being found through aggregated, privacy-conscious insights.
- Meet legal, fraud-prevention and accounting obligations.
4. Legal bases
Depending on location and context, we process information to perform a contract, take requested pre-contract steps, pursue legitimate interests in operating and securing the service, comply with legal obligations, or act with consent.
5. Public Board information
Most Boards are intended to be public and normally require no viewer account. Information published by a customer may therefore be visible to anyone with the Board address. Customers are responsible for ensuring they have authority to publish personal information and for using passcode protection where appropriate and available.
6. Service providers and payments
We may use carefully selected providers for hosting, storage, email, security, diagnostics and customer support. When paid subscriptions launch, Paddle will act as Merchant of Record and process payment, tax, invoice and transaction information under its own privacy notice. PutBoard does not receive full payment-card details.
7. International transfers
Our providers may process information in countries other than the country where it was collected. Where required, we use recognised safeguards for international transfers.
8. Retention
We retain information while needed to provide the service and for legitimate operational, security, legal and financial purposes. Boards and profiles use documented recovery periods before permanent deletion or anonymisation. Backups are retained for disaster recovery and are not a customer recycle bin.
9. Your choices and rights
Depending on applicable law, people may request access, correction, deletion, restriction, portability, or objection to certain processing. Account Owners can update organisation details and manage Board content through PutBoard. To make a privacy request, contact [email protected].
10. Children
PutBoard is sold to adults and organisations responsible for communities. It is not directed to children for the purpose of creating customer Accounts. Customers publishing information involving children must do so lawfully and carefully.
11. Security
We use access controls, controlled file routes, password hashing, token protection and other technical and organisational safeguards. No internet service can guarantee absolute security.
12. Changes
We may update this policy as PutBoard develops or legal requirements change. Material changes will be communicated where required.
